2. Placing an Order

All orders are arranged through direct enquiry and quotation.

Once we've discussed your requirements, we'll provide a personalised quotation outlining your chosen products, quantities, fragrances, branding, packaging, pricing and estimated lead time.

Before confirming your order, we'll ensure all product details and any required artwork have been reviewed and approved.

Full payment (100%) is required upfront to confirm your order. Production will begin once payment has been received and all necessary details and artwork have been approved.

Please check all information carefully before confirming your order, including quantities, fragrances, vessel colours, packaging, artwork and delivery details. Once production has commenced or bespoke materials have been ordered, changes or cancellations may not be possible, subject to any applicable statutory rights.

3. Minimum Order Quantities

Minimum order quantities vary depending on the product and packaging selected.

Our standard private label candles are available from a minimum of 20 units, while fully bespoke printed packaging requires a minimum of 30 units.

Where multiple fragrances are selected, a minimum of four candles per fragrance applies.

Any additional minimum requirements will be communicated before an order is confirmed.

4. Pricing & Payment

All prices are quoted in GBP (£).

Prices vary depending on the product, order quantity, packaging and personalisation requirements. Any applicable taxes and delivery charges will be clearly outlined in your quotation. Full payment (100%) is required upfront to confirm your order and secure production.

Orders will not enter production until full payment has been received and all necessary artwork and product details have been approved.

Once production has commenced or bespoke materials have been ordered, cancellations or amendments may not be possible. Any applicable statutory cancellation rights remain unaffected. We reserve the right to update our prices at any time. However, any changes will not affect orders already confirmed and paid for.

5. Personalisation & Design Approval

We offer complimentary design support for our private label candle labels and packaging.

Where artwork approval is required, a digital proof will be provided for review before production.

It is the customer's responsibility to check all information carefully, including spelling, logos, colours, fragrance names, quantities and other design details.

Once artwork has been approved, any requested changes may result in additional costs or delays.

Customers must have permission to use any logos, images, trademarks or artwork supplied to us and must ensure their use does not infringe third-party rights.

6. Handmade Products

All candles are hand-poured in-house, and slight variations in appearance may occur between individual products or batches.

Minor variations in wax appearance, colour and finish can be a natural characteristic of handmade candles and do not necessarily indicate a fault.

We take care to maintain consistent quality across every order.

7. Production & Lead Times

Production times vary depending on order quantity, product selection, packaging and current workload.

Estimated lead times will be communicated before your order is confirmed.

Any lead time provided is an estimate unless a specific delivery deadline has been expressly agreed in writing.

Should an unexpected delay occur, we will contact you as soon as reasonably possible to discuss the revised timescale.

8. Changes & Cancellations

As many of our products are personalised and made specifically for each customer, changes or cancellations may not be possible once production or bespoke material ordering has commenced.

If you need to amend or cancel an order, please contact us as soon as possible.

For business-to-business orders, any cancellation and associated charges will be assessed according to the agreed order terms, work already completed and costs reasonably incurred.

For consumer purchases, applicable statutory cancellation rights will be respected. Products genuinely made to a customer's specifications or clearly personalised may be exempt from the usual change-of-mind cancellation right.

9. Delivery

We offer delivery throughout the United Kingdom.

Delivery charges are calculated according to the size, weight and destination of the order and will be communicated before confirmation.

Larger orders may be dispatched using a pallet delivery service.

We take care to package products securely. Delivery dates are estimates unless expressly agreed otherwise, and any issues or delays will be handled in accordance with applicable legal obligations.

10. Damaged, Faulty or Incorrect Products

Every order is checked and carefully packaged before dispatch.

If your order arrives damaged, faulty or incorrect, please contact us as soon as possible, ideally within 48 hours of delivery, with your order details and photographs of the affected products and packaging.

This helps us investigate the issue promptly and arrange an appropriate resolution.

Depending on the circumstances, this may include a replacement, repair where appropriate, refund or another agreed solution.

The suggested 48-hour reporting period does not limit your statutory rights.

11. Returns & Refunds

Because many of our products are made to order and personalised, we cannot accept change-of-mind returns for genuinely bespoke products where the relevant legal exemption applies. This does not affect your rights where products are faulty, damaged, incorrectly supplied or otherwise fail to meet applicable legal requirements.

Non-personalised consumer purchases may qualify for statutory cancellation rights.

Please contact us before returning any products so that we can provide appropriate instructions.

12. Samples

Sample candles and fragrance sample packs are available to help customers explore our products before placing a larger order.

Sample pricing, delivery charges and availability will be confirmed before purchase.

Fragrance perception is subjective, and we recommend sampling fragrances before committing to larger quantities.

13. Product Safety & Labelling

Our candles are produced with appropriate product safety information and labelling.

Customers purchasing private label products for resale are responsible for ensuring that their subsequent marketing, product claims, distribution and sale comply with applicable legal requirements.

Any responsibilities relating to customer-supplied packaging, additional labelling or other bespoke requirements will be discussed as part of the ordering process.

Safety information supplied with products must not be removed or altered in a way that compromises compliance.

14. Website Information

We aim to ensure that all information displayed on our website is accurate and up to date.

Product photographs and digital mock-ups are provided for illustrative purposes. Colours and finishes may appear slightly different depending on screen settings, materials and production methods.

We may update product specifications, availability and pricing from time to time. Any changes will not alter an order already accepted without agreement.

15. Intellectual Property

All original website content, photography, text and designs created by KATIE ASTLE STUDIO remain our intellectual property or that of the relevant rights holder unless otherwise agreed in writing.

Customers retain ownership of their own logos and branding materials.

Any transfer or licensing of rights in bespoke artwork will be governed by the terms agreed for that project.

16. Liability

Nothing in these terms excludes or limits liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud, or applicable statutory rights.

For business customers, any additional limitations of liability must be expressly agreed and will apply only to the extent permitted by law.

17. Governing Law

These terms are governed by the laws of England and Wales.

Any dispute will be subject to applicable legal rules concerning jurisdiction and consumer protection.

18. Contact Us
